Pricing rules, discounts, and approvals
How to configure the guardrails that keep every quote on-policy—without slowing your reps down.
Pricing rules are QuoteMate's guardrails. They encode how your organization actually sells—standard discounts, bundle pricing, required terms—so every quote is consistent no matter which rep drafts it.
What rules can control
- Discount thresholds — the maximum discount a rep can apply without approval, globally or per product line.
- Bundle and volume pricing — automatic price breaks at quantity tiers, so reps never have to remember the schedule.
- Required terms — payment terms, validity windows, and legal language that must appear on every document.
- Approval routing — who signs off when a quote goes outside policy, and in what order.
How approvals work
When a draft violates a rule—say, an 18% discount where the rep's limit is 15%—the quote moves to Pending approval instead of blocking the rep or letting the quote slip out off-policy. The designated approver gets notified, sees exactly which rule was triggered and by how much, and approves or adjusts in one step.
This is deliberately different from a hard stop. Reps keep moving, exceptions get a decision quickly, and finance gets an audit trail of every exception that was granted.
Setting rules up well
- Start with your real-world defaults, not aspirational ones. If most deals close at 12% off, a 10% threshold just creates approval noise.
- Give approvers deputies. A rule is only as fast as its slowest approver—route to a role, not a single person, where you can.
- Review the exception log quarterly. If the same exception is approved every week, it should probably become the rule.
