Inviting your team and setting roles
Add teammates, assign rep and approver roles, and set up permissions that match how your team quotes.
QuoteMate works best when everyone who touches a quote—reps, approvers, and leaders—works in the same system. Here's how to get your team in.
Inviting teammates
From Settings → Team, enter your teammates' email addresses and send invites. There are no per-seat charges on Starter and Growth, so invite everyone involved in your quoting motion, not just the reps who draft.
Roles
- Rep — creates and sends quotes within policy. Anything outside policy routes to an approver automatically.
- Approver — reviews and signs off on quotes that exceed discount thresholds or modify required terms. Approvers see exactly which rule was triggered, so decisions take seconds, not meetings.
- Admin — manages the catalog, pricing rules, templates, integrations, and billing.
Team permissions and approval routing are Growth and Scale features. On Starter, all members share the same access, which suits small teams where the founder is still the de facto approver.
Setting up approvals that don't bottleneck
Route approvals to a role rather than one named person wherever possible—quotes shouldn't wait on someone's vacation. If your organization has regional or product-line leaders, Scale supports custom routing so the right approver sees the right exceptions.
Removing a teammate
Deactivating a user keeps every quote they created, with full history, attributed to them. Their in-flight quotes can be reassigned to another rep from the pipeline view.
