Welcome to QuoteMate. This guide walks you through the setup steps that get your team from a fresh account to sending buyer-ready quotes.
1. Set up your team
Invite the people who create, approve, or track quotes. On Growth and Scale plans you can assign roles so reps draft quotes while managers approve discounts and terms. Keeping approvers in the system from day one means no quote ever leaves through a side channel.
2. Load your catalog
Your catalog is the source of truth QuoteMate draws from when it turns a request into a quote. Add your products or services with names, descriptions, and list pricing. The more accurately your catalog reflects how you actually sell—bundles, tiers, unit types—the more precise your generated quotes will be.
3. Configure pricing rules
Pricing rules are what keep quotes on-policy without slowing anyone down. Set your standard discount thresholds, who has to approve exceptions, and any terms that must appear on every document. Once configured, every quote your team generates respects these rules automatically.
4. Choose your templates
Pick a quote template that matches your brand. Templates control layout, logo, and the standard sections (scope, line items, terms, signature) so every proposal that leaves your team looks executive-approved.
5. Send your first quote
Describe the deal in plain English—what the buyer wants, quantities, any special terms. QuoteMate matches the request against your catalog, applies your pricing rules, and returns a draft. Review it, adjust if needed, and send. Most teams have their first quote out the same day they finish setup.
