Turn a bespoke request into a clear, priced, approvable quote.

When every sale starts as a spec instead of a cart, the quote is the product. This template captures a made-to-order request — requirements, options, materials, and lead time — and turns it into something a buyer can approve with confidence.

Who it's for

Made-to-order, bespoke, and configurable-product sellers — including Shopify merchants whose buyers request pricing before they buy.

What to include

  • Your business name, logo, ABN/GST or company number, and contact details
  • A unique quote number and the issue + valid-until dates
  • The customer's name, company, and billing details
  • Clear line items with description, quantity, unit price, and line total
  • Subtotal, tax (GST/VAT/sales tax), and a bold grand total
  • Payment terms, deposit requirements, and accepted payment methods
  • Scope, assumptions, and exclusions so there are no surprises later
  • An acceptance block — signature or a one-click approve link
  • Captured requirements / specification and chosen options
  • Materials, finishes, and any customer-supplied inputs

Template structure

Copy this skeleton into your quote, or use it as a checklist before you send.

Requirements

  • Buyer's brief: dimensions, quantity, use case, deadline
  • Selected options, materials, finishes, and variants
  • Reference images, drawings, or files attached

Build & price

  • Component / labour / material lines — qty — unit price — line total
  • Setup, tooling, or design fee if applicable
  • Revisions or sampling included vs chargeable

Terms

  • Lead time from approval, milestones, delivery
  • Deposit to start, balance on completion
  • Approval block — sign-off locks the spec

Tips for a quote that wins

  • Restate the brief back to the buyer in the quote. Approval then doubles as sign-off on the spec.
  • Price revisions explicitly — how many are included, what extra ones cost — to protect margin on custom work.
  • Take a deposit at approval. Made-to-order work shouldn't start on a verbal yes.

FAQ

How do I quote a custom product with no fixed price?

Break the build into component, labour, and material lines, add any setup or design fee, and state what's included versus chargeable. Capturing the spec on the quote makes the price defensible and the approval binding.

Should a made-to-order quote require a deposit?

Usually yes. A deposit at approval covers materials and protects you if the buyer changes direction — state the deposit percentage and when the balance is due.

Don't fill it in by hand.
