B2B sales quote template
Everything a B2B buyer needs to say yes — in one clean document.
A B2B sales quote has to survive procurement, finance, and a decision-maker who never saw your demo. This template lays out the exact structure that keeps a deal moving instead of stalling in an inbox: clear scope, defensible pricing, and terms spelled out up front.
Who it's for
Account executives, sales ops, and founders selling considered products or services to other businesses — especially where pricing depends on volume, configuration, or negotiated terms.
What to include
- Your business name, logo, ABN/GST or company number, and contact details

- Clear line items with description, quantity, unit price, and line total
- Subtotal, tax (GST/VAT/sales tax), and a bold grand total
- Payment terms, deposit requirements, and accepted payment methods
- Scope, assumptions, and exclusions so there are no surprises later
- An acceptance block — signature or a one-click approve link

- Payment terms (e.g. Net 30), deposit %, PO handling
- Lead time / delivery estimate

Tips for a quote that wins
- Lead with outcomes, not SKUs — a one-line summary of what the buyer gets before the table of numbers.
- Show the discount as a line, not a lower price. Buyers value a discount they can see.
- Put a real expiry date on it. A valid-until date is the most honest urgency you have.
- Offer one upsell, clearly optional. Suggestive selling lifts deal size without pressure.
FAQ
What's the difference between a B2B quote and an invoice?
A quote is an offer to sell at stated prices and terms before the work or order is confirmed. An invoice is a request for payment after the buyer accepts. A good quote becomes the invoice with one click.
How long should a B2B quote stay valid?
30 days is standard. If your input costs move quickly, 14 days is reasonable — just state it clearly so pricing can be re-confirmed after it lapses.
Do I need to show GST or sales tax on a quote?
Show tax as a separate line and a tax-inclusive grand total so the buyer sees the real number they'll pay. In New Zealand, GST is 15%; confirm the rate and any tax-invoice requirements for your region.
